Description:

[RESOLVED] Excel removes the leading zeros from the Org Unit ID (Student ID) when you open an CSV file that was exported from the gradebook.

When exporting a CSV with Org Unit ID selected, the file now contains pound signs (#) before the leading zeros, which prevents Excel from truncating those zeros.

When exporting grades, we suggest you export by username. Doing so will avoid the problems listed below.

If you export the gradebook with Org Defined ID selected, and open the exported file with Microsoft Excel, the leading zeros in the Org Defined ID may be removed by Excel, which will cause ICON to return an error when importing the file.

For example, 0012345 would be stripped down to 12345. When you attempt to import that file into the grades, ICON won't recognize 12345 as the same student as 0012345 and will return an error.

If exporting by username won't work for your situation, follow these instructions when opening the CSV file to stop Excel from removing the leading zeros.

For Microsoft Office 2003:

1. After exporting the CSV file, open Excel but do not open the file.
2. Select File > Open.
3. Select All Files(*.*) for Files of Type: and choose the CSV file that you exported.
4. Choose "Delimited" and click Next.
5. Select "Comma" as the delimiter and click Next.
6. For the first column, select Text as the Column data format and click Finish.
7. Make any desired changes to the grades within Excel. 8. Select File > Save As... and save as type CSV (comma delimited)(*.csv).
9. Respond Yes to "Do you want to replace the existing file?"
10. Respond Yes to "Do you want to keep the workbook in this format?"
11. Select File > Exit and respond No to "Do you want to save the changes?"


For Microsoft Office 2007:
1. After exporting the .csv file, open the Microsoft Excel application but do not open the file.
2. Select the Office Button in the upper-left corner and select Open.
3. Select All Files(*.*) for the filter drop down control, and choose the .csv file that you exported.
4. Choose Delimited and click Next.
5. Select "Comma" as the delimiter and click Next.
6. For the first column, select Text as the Column data format and click Finish.
7. Make any desired changes to the grades within Excel.
8. Select the Office Button in the upper-left corner, select Save As > Other Formats, and save as type CSV (comma delimited)(*.csv).
9. Respond Yes to "filename.csv already exists. Do you want to replace it?"
10. Respond Yes to "Do you want to keep the workbook in this format?"
11. Select the Office Button in the upper-left corner, select Exit Excel, and respond No to "Do you want to save the changes?"



For MS Office for Macintosh 2004:

1. After exporting the .csv file, do not immediately open it. First, rename the file, changing the file's extension from .csv to .txt .
2. Open the Microsoft Excel application.
3. Select File -> Open.
4. Make sure All readable documents is selected for the filter drop down control and choose the .txt file that you exported (and renamed).
5. Choose "Delimited" and click Next.
6. Select "Comma" as the delimiter and click Next.
7. For the first column, select "Text" as the Column data format and click Finish.
8. Make any desired changes to the grades within Excel.
9. Select File > Save As... and save as Format CSV (comma delimited).
10. Respond Yes to "Do you want to keep the workbook in this format?"
11. Close the file and respond Don't save to "Do you want to save the changes?"
