FAQ: Enrolling students, TAs and other instructor/designers

How do I enroll students in my ICON course?

Students are enrolled in your ICON course automatically the day after they register for your class. (You will see their names in your gradebook or in the Classlist.) However, your students will not be able to access your course until you make it active. To make your ICON course available to students, click on the Edit Course link in the Course Tools box on your homepage and then click on Course Offering Information. On that page, click to place a checkmark in the IsActive box, next to "Course is Active." Click Save and then click any link in the navigation bar to return to your course site.

If your course is not a registrar-affiliated course, you can add students yourself. To enroll non-UI participants, however, you must contact your local Collegiate Administrator or icon@uiowa.edu and request a guest account. What is the difference between a "student" and a "guest student"?

The Guest Student role is what administrators use when creating guest accounts for persons who do not have Hawk IDs. Students and Guest Students have nearly identical rights in ICON course sites, despite how they are differentiated in the Classlist. The only difference from the user's perspective is that those with Guest Student status can change their passwords within ICON while University-affliliated (Hawk ID) users must use the password management tools in ISIS.

How do I enroll a TA or another Instructor/Designer in my ICON course?

Provided you are the instructor of record for the course, you can contact your departmental administrator or send email to icon-support@uiowa.edu and request that the TA or other instructor be added. If your ICON course has only one section of students and no more than one section, you can add the TA or another instructor-designer yourself. See the Online Help section Adding Participants.

Important note: If multiple sections have been mapped into one ICON course, special enrollment procedures are required. Please contact the ICON support staff rather than trying to enroll TA's and instructor-designers yourself.

What rights do TA's have in ICON?

TA’s can have either high- or low-level TA status or TA/Designer status. Both low- and high-level TAs can manage communication tools, view and grade quizzes, and enter grades in the grades list. High-level TA’s can also customize communication tools, customize the grades list, and add course content materials. TA/Designers have full designer privileges. How can I change the rights for a TA?

Provided you are the instructor of record for the course, you can contact your departmental administrator or send email to icon-support@uiowa.edu and request that a TA's rights be changed. Be sure to indicate the new level you'd like your TA to have (e.g., low-level, high-level, T.A.-Designer).

Can I enroll a non-University affiliated person in my ICON course?

Yes, but if the person you want to enroll does not have a Hawk ID, you must contact your local Collegiate Admin or ICON Support (icon-support@uiowa.edu) and request that an account be created. Be sure to include the title of the ICON course and the name and email address of the person you want to enroll.

I'm having trouble enrolling someone in my ICON site. What could be happening?

The person may already be enrolled in your class, in which case typing the name in the Search text field on the Add Recipient page will not yield any results. To see if the person is already enrolled in your class, click the Classlist link on your course homepage and look for the person’s name.

Individuals who have certain roles in ICON—including system or collegiate administrators, support staff, or course builders—will not appear in the Classlist. For help in enrolling these people, contact ICON Support at icon-support@uiowa.edu.
